Administrative Assistant/Patient Representative

Administrative Assistant/Patient Representative position at 38-year-old Repsher & Associates Physical Therapy practice with room for advancement. Play an important role in a successful medical practice. Salary range $38,000 to $45,000, depending on experience. All candidate inquires and applications will be held in strict confidence.

As an Administrative Assistant/Patient Representative, you will be one of the first voices our patients hear when scheduling their appointments, and one of the first people they meet when entering our office. In this position with room for advancement, you will use your excellent communication and computer skills to help ensure our front office runs smoothly and that all of our patients get the care and service they deserve.

If you are outgoing, energetic, and enjoy working with the public, as well as intelligent, trustworthy, and computer savvy, we would like to hear from you. Medical office and/or billing experience, especially in physical therapy, are certainly a plus but not mandatory. We will train the qualified applicant to help them thrive in the rewarding field of physical therapy.

Monday: 10:00 am – 6:30 pm

Tuesday: 10:00 am – 6:30 pm

Wednesday: 6:30 am – 3:00 pm

Thursday: 6:30 am – 3:00 pm

Friday rotating between 6:30 am - 3:00 pm, 8:30 am - 5:00 pm, and 10:00 am - 6:30 pm


Greet all patients and assume all front desk responsibilities, including but not limited to:

Answering phone calls

Scheduling patients

Checking patients in and out

Collecting co-pays

Checking insurance benefits via phone or website

Assisting patients with questions

Learning various insurance coverages and being able to explain benefits to our patients

You will also:

Be responsible for verifying insurance coverage and obtaining authorizations for all insurances, including Workers’ Compensation and No-Fault

Enter patient information in our web-based practice management program, including ICD10 coding

Help to maintain the office website and social media pages. Also, assist in collecting information from physical therapy staff to create a newsletter to be sent to patients and physicians

Handle credentialing of the physical therapists with all insurance companies

Adhere to confidentiality and HIPAA regulations

Cover hours and responsibilities during vacations and as needed

Be flexible. This role is ever-evolving. We all help each other and wear many hats

Skills & Qualifications:

Enjoy working with people to exceed their expectations

Strong computer skills

Excellent verbal and written communication skills, including being able to communicate effectively over the phone

Proficient in Word, Excel, Outlook

Organized, self-directed, communicative, and accountable

A great team player. We all get along and work well together

The ability to juggle many projects and still remain cool under pressure. This is a busy office, but we always remember that life is supposed to be fun!

The ability to learn quickly, especially medical terminology and office protocols

The desire to advance within our organization

Education & Experience:

4 year college degree preferred

Medical office experience preferred but not required. We will provide on-site training
